Position Title:              Membership Manager

Department:                Membership

Reports to:                  Senior Director of Membership

Status:                         Full-Time, Exempt

 

I.          Summary

Supervises the Membership Associates and the day-to-day operations of the Membership Department. Works with the Senior Director of Membership to execute and track all functions of the annual fundraising plan. Researches, selects, orders and tracks program premium items for all television and radio station on-air fundraising campaigns.

II. Duties & Responsibilities                            

Monthly % of time

Supervise the daily work of all Membership Associates to ensure   outstanding customer service and timely & accurate record keeping.
 
 

  • Oversee the preparation   of daily cash receipts, charge transactions, EFT transactions, banking   reconciliations, and other functions of the membership records management   system.
  • Work closely   with each Associate to continually motivate them and improve their customer service   skills.
  • Create and   monitor Associate quarterly goals and offer feedback on status of each.
  • Oversee   schedule of membership associates for on-air tally shifts when volunteer   tally people are not available.

Select program premium items for all   television and radio station on-air fundraising campaigns. This includes:

      
  • Coordination with Senior Director, Fundraising        & Special Projects on initial premium research & creation.
      
  • Coordination with multiple vendors to determine        pricing and secure premium items.
      
  • Coordinate acquisition of ticket premiums with        promoters and program producers.
      
  • Coordinate ordering details with Database &        Reports Specialist.

Assist with logistics for Television   and Radio  on-air fundraising campaigns:

      
  • Work with Pledge Producer to project call        volumes during all pledge programming.
          
          
  •   
  • Serve as liaison to overflow service. Provide        upcoming schedule and last-minute changes, participate in pre-drive planning        calls, submit call projections in timely manner and be on-call for        trouble-shooting during pledge programming.
          
          
  •   
  • Serve as on-call liaison to tally volunteers for        trouble-shooting during live pledge broadcasts
          
          
  •   
  • Monitor ticket offers during live and taped        pledge broadcasts

Position Title:              Director of Leadership Circle & Founder’s Society

Department:                Major Gifts

Reports to:                  Senior Vice President, Development & Corporate Communications

Status:                         Full-Time, Exempt

I. Summary

Sustain and grow WNED | WBFO’s Major Gifts program supporting WNED TV, Classical 94.5 WNED,  WBFO-FM 88.7 and ThinkBright & Well/ WORLD in all Western New York and Southern Ontario communities. Work with Senior Vice President at WNED | WBFO, and with major gifts representative at PBS Corporate to develop and expand our Planned Giving (Legacy) program (which includes the Foundation website, on-air appeals, various print material, and yearly events). Work closely with (major gift) Events Manager on the execution of multiple donor events in Western New York and Southern Ontario. Cultivate relationships with individual donors and provide “concierge level” service to WNED | WBFO contributors in various donor groups. Initiate and maintain relationships with other non-profit organizations for project collaborations. Lastly, Director works with various staff on company Capital Campaigns (as applicable).

 

II. Duties & Responsibilities                                                                                                      Monthly % of Time

 

Sustain and grow   the Major Gifts (individual giving)   program. This includes the following donor clubs:  Founder’s Society ($300 - $999), the Leadership Circle ($1000 - $2,499), Benefactor’s Society ($2,500 - $4,999), and President’s Council ($5,000 +).

Duties include:

      
  • Developing print and online        solicitation materials, identifying new and cultivating current        prospects, stewarding current major donors, and managing all        communications.
      
  • Responsible for meeting or exceeding        annual goals and managing major gifts/planned giving budgets.
      
  • Also responsible for keeping        up-to-date on tax laws/ restrictions which impact giving patterns of        donors at higher giving and legacy levels.
      
  • Provides “concierge level” service to        members of various donor clubs.

50%

Develop   and expand a formal Planned Giving (Legacy) program. This includes:

  • Working in   conjunction with Senior Director, Fundraising & Special Projects for   on-air spot acquisition, creation and broadcast.
  • Coordinate with   Project Director, Planned Giving at PBS Corporate to make sure WNED | WBFO is   involved in national projects. Keep up to date with PBS Corporate re: current   research on donor giving trends.
  • Monitor and   coordinate updates (as necessary) to the WNED | WBFO Foundation website.   Create print and online materials about the Legacy program.
  • Coordinate   yearly events with major gifts Events Manager which target potential Planned   Giving donors and provide information about the program.
  • Keep up-to-date   on new tax laws/ restrictions which impact   donor options to planned giving programs.
  • Work may sometimes include working with a WNED   Board Committee to evaluate on-going activities and coordinate peer   solicitation to target potential prospects

Work with Capital Campaign team to achieve   campaign cultivation and revenue goals.

Pursue funding opportunities from individuals to   support special projects as needed. Other duties as assigned to further the   mission and goals of WNED | WBFO.

III. Qualifications and Education Required

 

  • Bachelor’s degree required, plus relevant professional development experience gained from a responsible position at another non-profit organization
  • Demonstrated success in Major Gift development
  • Superior verbal and written communication skills
  • Strong organizational skills and ability to meet deadlines
  • Flexibility in work hours is required as this position sometimes works non-traditional business hours (nights and/or weekends attending various events)
  • Ability to work effectively both alone and as part of a team
  • Some travel to Canada required

Position Description

Position Title: Administrative Assistant

Department: Finance & Administration/ Human Resources/ Foundation & Community Development

Reports To: Vice President/CFO, Director of Human Resources, Director of Foundation & Community Development

Hours: 40 hours/week

Position Summary:

The Administrative Assistant provides support to the Vice President/CFO, Director of Human Resources and the Director of Foundation & Community Development. Performs high level administrative assistant tasks as well as various administrative support functions including e-mailing, faxing, copying, mailing, RSVP’s and registrations.

Responsibilities Include:

  1. Finance:
    • Run monthly budget reports and distribute to staff.
    • Create monthly budget binders for Vice President/CFO, Executive Vice President/COO and President/CEO.
    • Order office supplies for staff (including printer & toner cartridges), as well as assist with ordering and stocking the general office supply room.
    • Make copies of business office forms, file time sheets.
    • Perform clerical duties for Vice President/CFO.
    • Coordinate and schedule appointments and meetings.
    • Act as backup for processing of membership receipts.
    • Provide support to Business Office as needed.

  2. Human Resources:
    • Maintain HR electronic files for open positions. Distribute resumes.
    • Handle phone calls and inquiries about positions.
    • Prepare and post job postings.
    • Create recruitment files and complete EEO applicant flow worksheet. Prepare
    • and post FCC/EEO annual report on WNED’s website.
    • Maintain personnel, application and resume files.
    • Assist in checking references. Run background checks.
    • Schedule interviews and oversee booking of interview room.
    • Oversee job acknowledgement process and logging of applications.
    • Generate position-filled letters.
    • Process HR invoices.
    • Coordinate internship program and high school shadow days.
    • Assist HR Director in coordinating training and events.

  3. Foundation & Community Development:
    • Provide administrative support to department staff including special
    • projects, donor research, capital campaign, grant proposals, corporate
    • solicitation, letter writing, etc.
    • Assist with fulfillment and compliance of corporate and foundation
    • grants; capital campaign (including coordination of on-air and off-air
    • recognition functions and communications with donors regarding
    • appropriate recognition).
    • Coordinate department meetings and record minutes of production
    • funding meetings and update production grids.
    • Keep detailed records of all donor communication and information.
    • Various internal and logistical duties, including accounting, maintaining calendars and schedules.

  4. General
    • Collect timesheets and keep vacation, personal leave and sick records
    • for Finance and Administration, Foundation & Development, IT and
    • Building Services.
    • Order food and beverages for meetings, as necessary.
    • Order office cleaning supplies for cleaning crew.
    • Serve as assistant to the President/CEO in the absence of the executive assistant or as directed.
    • Main backup for covering the WNED front desk; assist with scheduling relief.
    • Such other duties and special projects as may be assigned.

Key Competencies:

  • Knowledge of accounting practices.
  • Basic bookkeeping skills.
  • Excellent interpersonal, written, verbal, research, communication skills required.
  • Excellent computer skills: PC literate, proficient with Word, Excel, and PowerPoint.
  • Task-oriented and highly organized; ability to prioritize effectively while continuing to work on multiple tasks with a minimum of direct supervision.
  • Ability to maintain confidentiality and be discreet.
  • Ability to work under pressure of time constraints and deadlines.

Education/Experience:

  • College degree preferred.

To oversee development of relationships with foundations, corporate giving programs, and government agencies; ensure payment and stewardship of major donor commitments to the capital campaign; serve as WNED|WBFO liaison with PBS on program underwriting and funder recognition and to assist and support the work of other non-profits in the region.

 

Responsibilities Include:                                                                                  

 

•To oversee the development of grant proposals to local,                                   

regional and national foundations, corporations, and 

government agencies for funding projects and undertakings

of WNED|WBFO; ensure that the terms and conditions of grants

are being met within the organization, including interim and final reports

as required by the grantor.

 

•To assist in the design, implementation and stewardship of capital 

solicitation campaigns for major WNED|WBFO projects                                          

 

•To be the liaison with PBS for all discussions regarding program

The reporter is responsible for compiling, writing, producing and delivering news stories, interviews, features and other elements. Responsibilities include updating the station’s website, producing multimedia content and preparing other program elements. The reporter will also contribute to collaborative news-gathering activities, including the development of long-range series and enterprise stories. The reporter will also be trained to serve as a fill-in anchor.

Duties and Responsibilities:                                                                     

  1. Serves as general assignment spot news reporter, researching, interviewing, writing and producing content.                                         

            2.   Responsible for producing/writing/updating station’s website.                

            3.   Performs other general newsrooms tasks that include making check calls, following up on stories, updating files and fielding phone calls.
