Administrative Assistant


Position Description

Position Title: Administrative Assistant - Part-Time, 25 hours/week
Department(s): Development & Corporate Communications, Foundation & Community Development
Reports To:  Senior Vice President, Development & Corporate Communications
Date: November, 2015

Position Summary:

Responsible for providing timely administrative support to Senior Vice President of Development & Corporate Communications and Directors in the Development, Foundation and Communications departments.

Responsibilities Include:

  1. Answering phones, faxing, photocopying, filing and correspondence
  2. Letter writing, mailing, meeting coordination, scheduling appointments,
  3. Capital campaign support
  4. Creation of Volunteer and Talent information packets for all television and radio pledge drives
  5. Monthly creation of WNED | WBFO member magazine “print version” documents
  6. Data entry for databases.  Creation of project spreadsheets.  Generation of reports from database (as needed)
  7. Answering member correspondence (via email, letter or phone)
  8. Prepare and update PowerPoint presentations
  9. Serve as tally person support during radio pledge drive (as needed)
  10. Collect and track all department timesheets, leave requests, and sick leave forms.  Track time off for each employee. 
  11. Track purchase receipts, credit card reports and invoices.
  12. Schedule and track meetings for Senior Vice President & other Division Directors
  13. Attend and take minutes for department meetings (as requested)
  14. Assistance with Fundraising Event set-up (as needed)
  15. Maintain confidential donor files
  16. Other duties as assigned

Qualifications and Education Required:

  • Detail-oriented, independent, organized, professional and discreet.
  • Ability to multi-task and learn new procedures swiftly.
  • Advanced-level experience with Microsoft Office suite.
  • Strong organization and problem-solving skills
  • Strong verbal and written communications abilities
  • Associate degree preferred
  • Minimum two years’ experience with skill set noted above.

Wind Down With WNED-TV

WNED-TV is creating a new series of live studio events. These gatherings will include conversation, hors d’oeuvres and screenings for some of your favorite public television programs!  Join in the fun by dressing in the period of each program if you like, or simply come and share your thoughts with fellow enthusiasts. Each evening will feature a brief discussion lead by a local expert on a related topic of the period. Then relax and watch a full program episode on WNED’s big studio screen.

BUFFALO, N.Y. – WBFO-FM 88.7 and Investigative Post have joined forces in a collaboration that will provide innovative news content to our listeners. Starting in November, Investigative Post will produce in-depth stories and provide analysis on breaking news for the public radio station. WBFO will broadcast the content while continuing to provide its own NPR news and coverage of local issues. Investigative Post reporters will also appear on WBFO’s “Press Pass,” which features interviews with journalists from local media outlets.

“Investigative Post has an impressive track record of providing in-depth perspectives on issues that are critical to Western New York’s future,” said WBFO News Director Brian Meyer. “This partnership will provide our listeners with additional insights on topics and events that affect their lives. We’re excited to launch this new collaboration.”

WBFO-FM 88.7 is the NPR member station for Western New York and Southern Ontario. WBFO has the largest radio newsroom staff in the Buffalo/Niagara region and features extensive award-winning local and regional journalism. The station’s staff has a combined 320 years of experience in radio journalism, much of it reporting in Western New York. The station has won more regional and state awards in recent years than any other radio station in the region. In addition to extensive local and regional journalism, WBFO also features the best of public radio from NPR, PRI, the BBC and American Public Media.

WBFO has a reputation of providing listeners with comprehensive, thought-provoking and balanced coverage of news that impacts their lives. The station recently enhanced its programming commitment with the addition of two new programs in its weekly schedule and introduction of new features that focus on the people, places and events that shape Western New York and Southern Ontario.

Investigative Post is the only nonprofit investigative reporting center based in Upstate New York. It partners with a number of news outlets in Western New York and other parts of New York State. They have earned a reputation for hard-hitting, high-impact stories since launching in February 2012. Its reporting on the Buffalo Billion prompted U.S. Attorney Preet Bharara to launch a federal investigation into the awarding of developer contracts and for members of the community to demand more diversity in the employment of construction workers at Solar City. Other investigations spurred government efforts to clean up Scajaquada Creek and reverse a decision to open Gallagher Beach for swimming because of serious water pollution.

Position Title: Membership Associate
Department: Membership
Reports to: Membership Manager
Status: Full-Time, Non-Exempt
Date: April, 2014

I. Summary:  Prepare daily cash receipts and charge transactions for data entry, enter data into membership database, provide customer service to members via telephone and correspondence, and assist with all administrative aspects of on-air fundraising campaigns.

II. Duties and Responsibilities / % of Time Spent

1. Prepare daily cash receipts. Prepare, balance and reconcile 25%
batches for data entry. Enter data in membership database.
Modify member records as needed.

2. Provide timely, thorough and courteous customer service 25%
(via telephone contact, correspondence and email) to members requesting
modification in member records, information about their membership
or other inquiries.

3. As assigned, share in database management, to include daily 15%
system back up, record matching and special gifts, import telemarketing
file transfer and payment processing via EFT or credit card.

4. Prior to on-air fundraising campaigns, prepare database 15%
system by entering coded information into pre-set formats. During
on-air fundraising campaigns, work regular and overtime hours
as directed to enter pledge data, verify data and process transactions.
Prepare daily pledge drive tally reports.

5. During on-air fundraising campaigns, assist with various tasks, 10%
to include preparing volunteer phone stations, coordinating
supplies, serve as resource for questions regarding membership
policies and other administrative tasks as needed.

6. As needed, provide administrative support in membership 5%
department, to include filing, office supply maintenance, photocopying,
faxing or other routine tasks.

7. Other membership duties as deemed necessary. 5%

III. Requisite Qualifications and Education:

• Computer skills required, with strong background in data entry
• Good mathematics and analytical ability
• Strong verbal and written communications skills
• Customer service experience preferred
• Ability to multi-task, detail-oriented
• Previous experience in an office environment required (not-for-profit experience preferred)
• High school graduate or equivalent required, with additional computer training preferred
